Cross-Brand Asset Library: Reuse One Campaign Across Brands

Build one master asset kit per campaign, then adapt it for each brand and market. Folder structure, naming rules and a metadata checklist inside.

One campaign shoot turns into 180 files once you multiply 30 creatives by 6 markets, and that's before you count ratios and languages. Most of that work is just redoing what you've already done. The fix is one master kit per campaign, plus a short written rule for what each brand may change. Adapting then becomes a 10-minute edit, not a rebuild.

TLDR: Make one master kit per campaign. Inside it, keep finished files, editable sources and approved copy. Beside it, write one page of rules: what each brand can swap (logo, colour, language) and what it can't. Name every file the same way so anyone can find the current version.

What goes in the master kit

The kit is a single folder that answers every question a local team would otherwise ask in chat. Include:

  • Finished files in every ratio you publish: 1:1, 4:5, 9:16 and 16:9.
  • Editable sources: the layered design file, the video project, the fonts.
  • Approved copy: the headline, captions and legal lines, already signed off.
  • A one-page rule sheet (next section).

If legal approved a line once, it lives in the kit. Nobody has to ask again.

Write the rules for what each brand may change

This is the part teams skip, and it's why local markets rebuild things "to be safe". Put the limits in writing.

Element Brand can change Brand cannot change
Logo and colour Yes, from its own brand folder Placement and clear-space
Headline Translate or localise The core promise
Offer and legal line Swap for the local version Removing it
Image crop Re-crop to a new ratio Retouching the product
Music or voiceover Replace with a local track Skipping the licence check

A table like this turns "can I change this?" into a lookup, and that frees the reviewer to check only what moved.

Name files so the current one is obvious

Pick one pattern and never break it: campaign_brand_format_version, for example springlaunch_brandb_9x16_v3. Lowercase, no spaces, no "final_FINAL". When a file is replaced, move the old one to an archive folder rather than leaving both side by side.

Add three tags to each file: campaign, brand and market. Even a plain folder structure works if the names are strict. Search takes over from asking.

Plug the library into your calendar

A library nobody sees at scheduling time gets ignored. Connect it to where posts are built. Mydrop works with Canva and Google Drive, so a team can pull a master design straight into a post, and brand workspaces keep each brand's logo, voice and accounts in its own space. If you manage many brands, the multi-brand calendar shows every brand's version of the campaign in one view, so a gap is visible before launch.

Who owns the master, and who may touch it

Arguments about the master stop when one person owns it. Name a kit owner per campaign, usually whoever ran the shoot or the brief. Only the owner replaces files in the master folder. Everyone else copies from it.

Give each brand a local editor who can adapt the kit inside the rules. Anything outside the rules goes back to the owner as a request, with the reason in one line.

Two habits keep the library healthy. First, archive the kit when the campaign ends, so the active folder only shows live work. Second, review the rule table after every launch, because the best rules come from the questions a local team actually asked.

Build the first kit from your next campaign

Don't migrate the old archive. Start with the next campaign: create the folder, fill in the four parts, write the rule table on one page, and hand it to the first local team. After that launch, ask them which question they still had to ask in chat, and add the answer to the kit. For the general structure of a library, see how to build a social media asset library that scales.

FAQ

Quick answers

Keep one master kit per campaign (finished files plus editable sources) and write down what may change per brand: logo, colours, copy, language. Each brand then adapts the kit instead of rebuilding it.

Final files in every ratio, editable source files, approved copy, the logo and legal lines for each brand, and a short note on what may be changed. Naming should say campaign, brand, format and version.

Use one pattern everywhere, for example campaign_brand_format_version, in lowercase with no spaces. A consistent name lets anyone find the current file without asking.

Next step

Stop coordinating around the work

If your team spends more time chasing approvals, assets, and publish details than creating better posts, the problem is probably not your people. It is the workflow around them. Mydrop brings planning, review, scheduling, and performance into one calmer operating system.

Managing 14+ social platforms felt like a 2 a.m. nightmare until Mydrop. The AI brand-voice mapping is scary accurate, and the client approval portal saved me easily 15 hours this week alone. It's the ultimate set-and-forget workspace for busy agencies.
A true automation tool for scheduling (and creating) social media content! It has saved me over 20 hours of work already in just my first couple weeks. A true game-changer for anyone in business, big or small!
Finally tried Mydrop on a test client and the white-label portal on a custom domain actually looks legit, no Mydrop branding sneaking in. The OAuth setup saved me from the usual “what's my password” back-and-forth.
