Agency creative turnaround slows down because of rework, not because designers are slow. Most of the lost days sit in vague requests, unclear feedback and approvals that nobody chases. The seven templates below fix those handoffs, and each one is short enough to paste into your next project today.

TLDR: Standardise the seven handoffs between request and approved file: intake, brief, self-check, feedback, revision request, approval message and final handoff. In Mydrop's data on client approvals, the median post was approved in 6 hours and 66% inside 24 hours, so the waiting is concentrated in the slow ones.

Where the days go

A creative round usually follows the same stages: someone asks, someone briefs, someone makes, someone reviews, someone fixes, someone approves. Each handoff is a place where information gets lost and a round gets added.

Handoff The usual failure Template
Request to brief "Can we get something for launch?" 1. Intake
Brief to design Missing audience, size or deadline 2. One-page brief
Design to review Obvious misses reach the client 3. Self-check
Review to revision "Make it pop" 4. Feedback format
Revision to resubmission Endless rounds 5. Revision request
Resubmission to sign-off Silence 6. Approval message
Sign-off to scheduling Wrong file goes out 7. Final handoff

Template 1: the intake request

Request: [what we need, one sentence] Why now: [launch, event, campaign] Deadline for first draft: [date and time zone] Who approves: [one name]

If the sender cannot fill four lines, the request is not ready, and you have just saved a design hour.

Template 2: the one-page brief

Goal: one sentence, one measurable outcome Audience: who and where they see it Message: the single thing they must remember Formats and sizes: list every one Must include / must avoid: logos, claims, words Reference: two links to work they like

Our 5 KPIs for every agency brief helps with the goal line.

Template 3: the designer's self-check

Before sending, the designer ticks: all sizes delivered, text proofread, claims match the brief, logo clear space respected, file named correctly. Five ticks catch the errors that would otherwise cost a full round.

Template 4: the feedback format

Keep: what works Change: the exact element, and the outcome you want Question: anything you are unsure about

"Change the headline to say we ship free" is feedback. "Make it pop" is not. Ask reviewers to leave comments on the file itself, not in a chat thread, so nothing gets lost. This is easier when comments sit on the post: Mydrop's collaboration tools keep them attached to the draft.

Template 5: the revision request

Round: 2 of 2 Changes listed: numbered, one per line Not in scope: anything new raised now becomes a new request

Agree the round limit in the contract. It turns an open loop into a schedule.

Template 6: the approval message

"Final version attached. If we do not hear back by [time], we will treat it as approved and schedule for [date]."

Pair it with automatic reminders. In Mydrop, clients approve through a no-login client portal, so approval takes one click rather than an account setup.

Template 7: the final handoff note

File: exact name and location Approved by / date: Publish on: platform, date, time Caption and link: attached

Link this to the approval workflow so the file that was approved is the file that gets scheduled.

Measure rounds, not hours

Hours are hard to track across a team, rounds are easy. Count how many review rounds each project takes before approval. If the average falls from three to two, you have cut a third of the review work without asking anyone to work faster. Keep that number visible in your weekly meeting so the templates stay in use after the first enthusiasm fades.

Roll out one template per week

Do not introduce all seven at once. Start with the feedback format, since that is where most rounds are created. Count rounds per project before and after. If you manage several clients, start free with Mydrop to keep briefs, comments and approvals attached to the posts. FAQ

Quick answers

Mostly rework from vague briefs, unclear feedback and approvals nobody chases, not slow design.

A one-line goal, the audience, the single message, every format and size, what to include or avoid, and two reference links.

Two is common. Put the limit in the contract and treat anything new raised in round two as a new request.

Next step

Stop coordinating around the work

If your team spends more time chasing approvals, assets, and publish details than creating better posts, the problem is probably not your people. It is the workflow around them. Mydrop brings planning, review, scheduling, and performance into one calmer operating system.

Managing 14+ social platforms felt like a 2 a.m. nightmare until Mydrop. The AI brand-voice mapping is scary accurate, and the client approval portal saved me easily 15 hours this week alone. It's the ultimate set-and-forget workspace for busy agencies.
A true automation tool for scheduling (and creating) social media content! It has saved me over 20 hours of work already in just my first couple weeks. A true game-changer for anyone in business, big or small!
Finally tried Mydrop on a test client and the white-label portal on a custom domain actually looks legit, no Mydrop branding sneaking in. The OAuth setup saved me from the usual “what's my password” back-and-forth.
Absolute game-changer. Mydrop completely automated my content workflow. The scheduling is flawless, it actually feels intuitive, and it saved me 10+ hours in my very first week. Best decision I've made for my socials!
Mydrop AI has been an absolute game changer, it has saved me so much time and effort. It does what it promises. Easy to use, versatile, and the creator is really open to feedback. Very happy!
