Multilingual Video Captions and Subtitles: A 6-Step Workflow

Add captions and subtitles in several languages without the delays: a 6-step workflow with owners, review gates, file naming and platform rules for social video.

The fastest way to handle multilingual captions and subtitles is a 6-step workflow with one owner per step and one human review gate per language. Machines handle the first draft of the transcription and translation. A native speaker checks the tone and the terms. Then the finished files are named, stored and attached to the post the same way every time.

TLDR: Lock the source script, transcribe once, translate with a glossary, review with a native speaker, burn in or upload depending on the platform, then publish with the translated post copy. Skip the glossary and the review gate and that's how brand names and jokes get mangled.

Mydrop data, September 2026: across accounts connected to Mydrop, which manages 55,000+ posts, captions under 80 characters ran 9% below their account's typical post. From 80 characters up, length made no measurable difference: every bucket from 80 to 600+ characters sat within 3% of the median. Method and full tables in the Mydrop social media benchmarks.

Steps 1 to 3: fix the source before you translate anything

Translation copies mistakes. A wrong word in the original becomes a wrong word in every language.

  1. Lock the script. The video is final before any translation starts. A late edit means redoing every language.
  2. Transcribe once. Generate a transcript with timestamps from the final audio and have one person fix names, numbers and product terms.
  3. Build a glossary. A short list of terms that must not change (brand and product names, slogans) and terms that must change in a set way. Ten to twenty lines is enough.

Give the glossary to every translator, human or machine. It's the single biggest lever for quality.

Step 4: put one review gate per language

Automated translation is fast but can't judge tone. Put a human where judgment matters:

Check What the reviewer looks for Who
Meaning Nothing added, nothing dropped Native speaker
Brand terms Glossary applied Native speaker
Tone Formal or casual register matches the market Native speaker
Line breaks and timing Max two lines, readable in 1 to 2 seconds per line Editor
Legal Claims allowed in that country Regional lead

Review the first video in a language in full. After that, spot-check one in three, and review everything again when the glossary changes.

Step 5: choose burned-in or uploaded files per platform

The same video needs different handling depending on where it goes.

  • TikTok and Instagram Reels: burn the subtitles into the video. Most viewers watch with the sound off, and the app's own caption tools vary by language.
  • YouTube: upload separate subtitle files (such as .srt) per language so viewers can pick. This also keeps the video indexable.
  • LinkedIn and Facebook: either works. Uploaded files keep the video lighter and editable.

Keep subtitle text inside the safe area so the app interface doesn't cover it. Check one export on a phone before you produce 12 more.

Step 6: translate the post copy alongside the video

Subtitles are only half the job. The caption under the video needs to match. Our data shows no measurable difference in engagement once a caption passes 80 characters, but captions under that ran 9% below median, so write a full sentence in each language rather than a bare line.

Name files so anyone can find them: campaign_video-title_lang_version for example. Store them in one folder per campaign and per language, and keep the transcript and glossary beside them. Without this, the next campaign starts from zero.

Where a scheduler helps with the final mile

Once the files exist, the slow part is attaching the right version to the right account and not publishing the French video to the German page. In Mydrop, you can keep separate brands and workspaces per market, generate or draft the translated caption with AI content tools for review, and send each version through approvals so the regional lead signs off before it goes live.

Run the workflow on one video in two languages first

Choose one finished video and one target language that your team can review. Do all six steps, time each one, and note where it got stuck. That timing tells you where to add a person or a template before you scale to 10 languages.

If you want to test translated captions before translating video, start with our five caption localisation tests.

FAQ

Quick answers

Captions transcribe speech and key sounds in the same language, mainly for accessibility and for watching with the sound off. Subtitles translate the speech into another language.

Burn them in for short vertical videos on TikTok and Instagram Reels, where viewers watch without sound. Upload a separate subtitle file where the platform supports it, such as YouTube, so viewers can switch languages.

AI is good for a first draft and for timing, but a native speaker should check brand terms, names and tone before anything goes live. Review the first video in each language closely, then spot-check.

Not in Mydrop's September 2026 data: past 80 characters, caption length made no measurable difference. Only very short captions, under 80 characters, ran below the account's median, by 9%.

Next step

Stop coordinating around the work

If your team spends more time chasing approvals, assets, and publish details than creating better posts, the problem is probably not your people. It is the workflow around them. Mydrop brings planning, review, scheduling, and performance into one calmer operating system.

Managing 14+ social platforms felt like a 2 a.m. nightmare until Mydrop. The AI brand-voice mapping is scary accurate, and the client approval portal saved me easily 15 hours this week alone. It's the ultimate set-and-forget workspace for busy agencies.
A true automation tool for scheduling (and creating) social media content! It has saved me over 20 hours of work already in just my first couple weeks. A true game-changer for anyone in business, big or small!
Finally tried Mydrop on a test client and the white-label portal on a custom domain actually looks legit, no Mydrop branding sneaking in. The OAuth setup saved me from the usual “what's my password” back-and-forth.
Absolute game-changer. Mydrop completely automated my content workflow. The scheduling is flawless, it actually feels intuitive, and it saved me 10+ hours in my very first week. Best decision I've made for my socials!
