Purge your media library when finding a file takes longer than making one. The signal is simple: someone searches, gives up, and asks in chat. At that point the library is costing you campaign speed, and an hour of pruning pays back within a week.
TLDR: Purge when search stops working, when duplicates appear, or when a campaign closes. Use four rules: delete duplicates and unlicensed files, archive finished campaigns, keep evergreen and approved brand assets, and ask the owner about anything unclear. Budget 90 minutes per brand.
Three signs the library is slowing you down
People ask instead of search. If the first move is a chat message asking "where is the final logo?", the library has lost trust.
You find two of everything. Final, final-2 and final-use-this are the usual names. Every duplicate is a chance to post the wrong one.
Old campaigns share space with live ones. Last spring's offer image sits beside this month's, and both look current.
A fourth, quieter sign: nobody dares delete anything. That fear is how libraries grow by 30 files a week and are never looked at.
Four rules: delete, archive, keep or ask
| Rule | What it covers | Action |
|---|---|---|
| Delete | Exact duplicates, failed exports, drafts, files with expired or unknown usage rights | Remove for good after a 7-day notice |
| Archive | Finished campaign assets, past seasonal creative, old pricing | Move to an archive tag or folder, out of normal search |
| Keep | Current logos, brand templates, evergreen photos, approved asks | Stay in the live library |
| Ask | Anything you cannot classify in 10 seconds | Send to the brand owner, decide in a batch |
The rule of thumb: archive is the default, delete is for clear junk. Archiving costs nothing and can be undone.
A 90-minute purge plan per brand
- Minutes 0 to 10: sort by date and by size. The oldest and the largest files are where most waste lives.
- Minutes 10 to 40: remove exact duplicates and failed exports. Do not judge quality yet.
- Minutes 40 to 70: archive finished campaigns. Tag them with the campaign name and year before you move them.
- Minutes 70 to 85: list the "ask" pile and send it to the brand owner in one message.
- Minutes 85 to 90: write the three-line naming rule at the top of the library so the next clean-up is easier.
Warn the team before you delete. A short note, "removing duplicates on Friday, shout if you need something", prevents the one file someone needed from vanishing silently.
Prevent the next purge
A purge fixes the past. These habits stop the library regrowing.
- Name files on upload. Brand, campaign, format and date. A file without a name is a future problem.
- Close the campaign, archive the campaign. Add it to your campaign wrap-up checklist.
- Own each library. One person per brand decides what counts as final.
- Reuse before you create. Search first. A good evergreen set cuts new production; see how to build an evergreen social media library.
What a lean library does for campaign speed
The speed gain is mostly small and constant. Finding a file in 10 seconds instead of 5 minutes, twice a day, across a team of three, adds up to hours a month. The bigger gain is fewer wrong-version posts, because a wrong version has fewer places to hide.
If the assets are shared across clients, consider whether a dedicated library is needed; when to move shared assets to a dedicated media library gives the signals.
Where Mydrop's media library fits the purge
In Mydrop, each brand keeps its own media library inside its workspace, so a purge for one client never touches another. You can search by name and tag, attach the same asset to several posts, and see the file next to the post in the content calendar, which makes it easy to check whether an asset is still in use before you remove it.
For the audit side of this job, how to audit your social media library for brand consistency covers the checks beyond file count.
Next step: purge one brand before the next campaign
Pick the brand with the next campaign. Block 90 minutes, run the four rules, and note how long it takes you to find the launch assets afterward. If it is under a minute, book the same slot every quarter.
