A seven-point checklist for handing a Canva design over to the social team with no re-exports, lost versions or last-minute resizing.

A good Canva handoff is a checklist the designer ticks, not a conversation. Seven checks cover almost every handoff failure: final version, sizes, safe margins, caption, alt text, approval and schedule slot. If all seven are done, the social team can publish without messaging the designer.

TLDR: Hand off with a seven-point checklist. Mark the final Canva version, check every platform size, confirm safe margins, attach the caption and alt text, get approval, and pick the schedule slot. Importing from Canva beats downloading, because it removes the file that can go stale.

Mydrop data, September 2026: in the 30 days to 16 September 2026, 98.5% of posts published through Mydrop went live at the first attempt. The most common warning was a YouTube custom thumbnail rejected because the channel was not phone-verified; the most common hard failure was an expired platform connection. Method in the Mydrop social media benchmarks.

Why handoffs break in the first place

Most breaks are boring. The designer exports the wrong version, the social manager downloads an old one, or a size is missing and someone crops it by hand. Each one is a small mismatch between what the designer thinks is final and what the publisher picked up.

A checklist moves those checks to the moment of handoff, when the designer still has the file open. If your team is also waiting on designs, our guide to finding where Canva designs stall covers the delay side.

The seven checks

# Check Why it matters
1 Mark the final version in the design name The wrong draft is the most common failure
2 Confirm every size the post needs Missing sizes get cropped by hand
3 Check safe margins on each size Text near the edge gets cut by the app UI
4 Attach the final caption and hashtags Avoids a second round of messages
5 Write alt text Required for accessibility and some platforms
6 Get approval before the handoff, not after A design changed after approval needs approval again
7 Pick the schedule slot Turns the file into a post, not a loose asset

Print this or paste it into your task template. A check that is not written down gets skipped under deadline.

Import the design, do not download it

A download makes a copy, and a copy can go out of date. If the designer changes the Canva file after the download, the social manager publishes the old image.

Importing from Canva keeps the connection to the source, so the post uses what the designer actually finalised. Mydrop's Canva integration brings the design into the post composer, so there is no file to rename, re-save or lose. For the exact settings, see how to customise Canva export options in Mydrop.

One caution: if your tool does not connect to Canva directly, assume each transfer is a point of failure and add a check after it.

Decide when import beats upload

Not every asset needs an import. A one-off photo from a phone is fine to upload. A branded template that changes every week is where import saves time.

Our rule of thumb: import anything that was made in Canva and will be edited again, upload anything final and static. The longer guide on when to import external design assets gives the full decision tree.

Put approval between design and schedule

Skipping approval is how a typo reaches the feed. Put the review step after the design is final and before it is scheduled, so a changed design always goes back through it.

For agencies, Mydrop's approval workflow sends the post to the client for review, and the median time from submission to approval in our data was 6 hours, with 66% approved within 24 hours. That sample is small, so treat it as a rough guide. The point is that review does not have to be the slow step.

Keep the preview in the loop

A design that looks right in Canva can still crop badly in a feed. Check each platform preview before approving. Per-platform post preview in Mydrop shows the crop on each network, so the designer and reviewer see the same thing the audience will.

Make it the default

A checklist helps only if people use it. Put it in the handoff task, make the designer tick it, and have the publisher refuse any handoff with an unticked box. After two weeks, the number of "which version is final" messages should drop to near zero. If not, the first check is being skipped.

Next step: copy the seven checks into your handoff task today. Then start free with Mydrop, connect Canva, and run your next campaign through the import flow.

FAQ

Quick answers

Connect Canva to your publishing tool and import the design straight into the post. That cuts out the download, rename and upload steps where files get lost.

Agree on one checklist that the designer ticks before handoff, covering size, version, caption and approval. A shared checklist beats a long chat thread.

Partly. Importing designs and scheduling can be automated, but the final review should stay with a person.

Next step

Stop coordinating around the work

If your team spends more time chasing approvals, assets, and publish details than creating better posts, the problem is probably not your people. It is the workflow around them. Mydrop brings planning, review, scheduling, and performance into one calmer operating system.

Managing 14+ social platforms felt like a 2 a.m. nightmare until Mydrop. The AI brand-voice mapping is scary accurate, and the client approval portal saved me easily 15 hours this week alone. It's the ultimate set-and-forget workspace for busy agencies.
A true automation tool for scheduling (and creating) social media content! It has saved me over 20 hours of work already in just my first couple weeks. A true game-changer for anyone in business, big or small!
Finally tried Mydrop on a test client and the white-label portal on a custom domain actually looks legit, no Mydrop branding sneaking in. The OAuth setup saved me from the usual “what's my password” back-and-forth.
