AI Drafts Stuck in Approval? 6 Fixes That Cut the Wait

AI writes drafts in seconds, then they sit around for days waiting for sign-off. Six fixes: a brief, a checklist, review tiers and reminders that get drafts approved faster.

AI drafts stall in approval because AI makes ten drafts where a person made two, and the reviewer is still one person. The fix is not to ask AI for fewer drafts. It is to send reviewers better-briefed drafts, a short checklist, and a lighter path for low-risk posts.

TLDR: Brief the AI once per brand, send a three-point checklist with every draft, split review into two tiers by risk, and remind reviewers automatically. Posts that went through a client approval on Mydrop had a median wait of 6 hours, so a fast path exists.

Mydrop data, September 2026: across posts that went through a client approval on Mydrop, the median time from submission to approval was 6 hours, and 66% were approved within 24 hours. Method in the Mydrop social media benchmarks.

Find where the wait actually happens before changing anything

Three places hold most of the delay, and each needs a different fix.

Where the draft waits Sign you have this Fix
Before review starts Reviewer has not opened it for a day or more Reminders, one review slot
During review Many edit rounds on tone A voice brief for the AI
After review Approved but not scheduled Approve inside the scheduler

Pull the last 20 drafts and note which of the three each one hit. The biggest group tells you which fix to do first.

Fix 1: give the AI a brand brief so tone edits stop

Most rewrite rounds are about voice: too salesy, wrong word, wrong emoji. Write a half-page brief per brand covering who the audience is, three words that describe the voice, words to avoid and one example post the client loved.

Mydrop's AI content tools generate captions and post ideas in the brand's voice from that kind of setup, so the first draft starts closer to approved.

Fix 2: ship a three-point checklist with every draft

Reviewers read AI text slowly because they do not know what to look for. Tell them. A checklist at the top of each draft:

  • Facts: every number and claim is checked (yes or no).
  • Tone: matches the brief (yes or no).
  • Risk: no pricing, legal, health or competitor mention (yes or no).

If all three are yes, the reviewer only needs to say go. If one is no, they know exactly where to look.

Fix 3: review in two tiers, not one

Not every post deserves the same scrutiny. A weekly tip needs a quick look. A product launch or a sensitive reply needs a careful one.

  • Tier 1, light: routine posts. One reviewer, 24-hour window, auto-approve if the reviewer is silent and the client agreed to that in writing.
  • Tier 2, full: launches, anything legal, anything mentioning people or prices. Two reviewers, no auto-approve.

Agree the tiers with the client once. After that, 70 to 80% of posts in our experience fit tier 1.

Fix 4: batch the review, do not drip it

Ten drafts arriving across ten days means ten interruptions. One batch on Tuesday and Thursday means two. Pick two fixed review windows and send drafts only for those windows.

The approvals feature lets reviewers approve or comment on posts in one place, and the client portal gives clients a no-login link, so a review is a click and not a login and a password reset.

Fix 5: automate the nudge

Most stalls are simply forgotten. Set reminders at 24 and 48 hours after a draft is sent, to the reviewer first and then to their backup. Our guide to approval reminders has a three-step schedule you can copy.

Fix 6: approve in the scheduler, not in a side channel

If approval happens in email and scheduling happens in another tool, someone has to carry the "yes" across. That carry step is where approved posts sit for a day. Approve inside the same place the post is scheduled, so a yes means the post is already in the calendar.

Run the six-fix test on one brand this week

Pick your slowest brand. Do fixes 1 and 2 on Monday, set the tiers with the client on Tuesday, and turn on reminders on Wednesday. Note the median wait time on Friday and compare it to the last 20 drafts.

If you want the whole flow in one place, you can start free on Mydrop and try it on a single client.

FAQ

Quick answers

Because AI multiplies the drafts, but the number of reviewers stays the same. Reviewers also trust AI text less, so they read every line, which makes each review slower.

Give the AI a brief with the client's voice, send a short checklist with each draft, and send low-risk posts through a lighter review than launches or sensitive topics.

They should need the same checks, but not more. Review by risk level, not by who or what wrote the text.

Next step

Stop coordinating around the work

If your team spends more time chasing approvals, assets, and publish details than creating better posts, the problem is probably not your people. It is the workflow around them. Mydrop brings planning, review, scheduling, and performance into one calmer operating system.
