A social media playbook works when every rule in it is a check someone can pass or fail, and every check has an owner and an approval gate. Write the playbook as a short table of rules, test it against your last 20 posts, and delete any rule that wouldn't have caught a real mistake.

TLDR: Write rules as pass/fail checks in four groups: voice, content, legal and process. Give each one an owner and a gate. Test the set on your last 20 posts. Choose tools that support named approvers, roles and comments on the draft.

Mydrop data, September 2026: across posts that went through a client approval on Mydrop, the median time from submission to approval was 6 hours, and 66% were approved within 24 hours. Method in the Mydrop social media benchmarks.

Turn "be on brand" into checks that pass or fail

Most playbooks fail because they describe a feeling: "friendly but professional". Nobody can fail that. A rule you can test names something visible.

Soft rule Testable version
Keep a friendly tone No sentence over 25 words, no jargon from our banned list
Be accurate Every number has a source link in the draft notes
Be legally safe Any claim with "best", "first" or "guaranteed" needs legal sign-off
Be consistent Logo, palette and font match the template, or the post is rejected
Respond quickly Comments answered within one working day

If a reviewer can't say yes or no in ten seconds, rewrite the rule.

Sort rules into four groups

Four groups cover almost everything, and each tends to have a different owner.

  • Voice: tone, banned words, emoji and hashtag rules. Owner: the brand or social lead.
  • Content: what you post and what you never touch (politics, competitor names, live-event commentary). Owner: the social lead.
  • Legal and claims: disclosures, regulated wording, usage rights for images. Owner: legal or compliance.
  • Process: who drafts, who approves, deadlines, who answers comments. Owner: whoever runs the calendar.

Twenty rules is plenty to start with. Go past that and nobody checks them.

Decide which rules need a human gate

Not every rule needs a person. A simple split saves reviewers from rubber-stamping:

  1. Checked by the drafter: voice and format rules, ticked before submitting.
  2. Checked by the approver: content and brand rules, on every post.
  3. Checked by a second named person: legal claims and sensitive topics, only when the post contains one.

That gives you a multi-step sign-off without sending every post through three people. A post with no claims passes one gate, and a post with a claim passes two. For a wider view across several brands, see our guide to cross-brand social media playbooks.

Test the playbook on your last 20 posts

Before you roll anything out, run the rules over 20 posts you've already published. For each rule, ask two questions:

  • Would it have caught a real mistake?
  • Would it have blocked a post that was fine?

A rule that catches nothing is clutter, so delete it. A rule that blocks good posts is too strict, so loosen it. This test takes an hour, and it's the difference between a playbook people follow and one they ignore.

What to look for in a tool that enforces the gates

If you're comparing platforms that support approval gates and multi-step sign-off, check three things in a trial:

  1. Named approvers per brand, not a shared inbox.
  2. Roles, so drafters can't publish and approvers can't be skipped.
  3. Comments on the draft itself, so the reason for a rejection stays with the post.

Mydrop's approval workflows and role-based collaboration cover these, with a no-login client portal for when the final approver sits outside your team. Your reviewers are the ones checking the rules, so keep the checklist visible on every draft. You can compare options on the compare pages.

Keep the playbook alive with a change log

A playbook goes stale in about a quarter. Add a date and a one-line reason to every change: "Banned the word 'cheap' after the March complaint". Review the rules every quarter against the same test: what did each rule catch?

When a post goes wrong, add or sharpen one rule and note the incident. That keeps the playbook small and tied to real events.

Write your first ten rules this week

Open a document and write ten rules from the table above, each as a pass/fail check with an owner. Run them over your last 20 posts on Friday and cut the ones that caught nothing. To put approvals, roles and comments around the result, start free with Mydrop.

FAQ

Quick answers

A short list of pass/fail rules grouped by voice, content, legal and process, each with an owner and a rule for which approval gate checks it.

Decide which rules the drafter checks, which the approver checks and which need a second named person, then use a tool with named approvers and roles.

Review it every quarter and after any incident, keeping a dated change log with a one-line reason for each change.

Next step

Stop coordinating around the work

If your team spends more time chasing approvals, assets, and publish details than creating better posts, the problem is probably not your people. It is the workflow around them. Mydrop brings planning, review, scheduling, and performance into one calmer operating system.

Managing 14+ social platforms felt like a 2 a.m. nightmare until Mydrop. The AI brand-voice mapping is scary accurate, and the client approval portal saved me easily 15 hours this week alone. It's the ultimate set-and-forget workspace for busy agencies.
A true automation tool for scheduling (and creating) social media content! It has saved me over 20 hours of work already in just my first couple weeks. A true game-changer for anyone in business, big or small!
Finally tried Mydrop on a test client and the white-label portal on a custom domain actually looks legit, no Mydrop branding sneaking in. The OAuth setup saved me from the usual “what's my password” back-and-forth.
Absolute game-changer. Mydrop completely automated my content workflow. The scheduling is flawless, it actually feels intuitive, and it saved me 10+ hours in my very first week. Best decision I've made for my socials!
