From Reach to Revenue Reporting: Rebuild Your Report in 3 Steps

Reach decks don't answer 'is this working?'. Rebuild your monthly social report around revenue in three steps, with a table of what goes on page one.

Move your reporting from reach to revenue when the person reading it controls a budget. Reach tells them you were visible. Revenue tells them whether to keep paying. The fix isn't a new tool; it's a different first page and three numbers you can defend.

TLDR: Rebuild the report in three steps: put business outcomes on page one, link every outcome to a source you can trace, and end with one decision. Keep reach as a supporting page. If you can't trace revenue, report the nearest trackable step, such as clicks, enquiries or bookings.

Step 1: swap page one

Most social reports open with impressions, reach and follower growth. Replace that page with four lines.

Page-one line What it answers Where it comes from
Leads or sales with a social source Did it earn? CRM, shop or booking tool
Cost to produce them Was it worth it? Hours plus ad spend
Top 3 posts by outcome What to repeat Click and conversion data
One decision for next month What changes Your recommendation

Reach, impressions and followers move to page three. They're still useful, they just don't lead.

Step 2: make every outcome traceable

A revenue number nobody can trace gets challenged in the first meeting. Fix that with three habits.

  • Tag every link. Add UTM parameters to every URL you post, with the platform and the campaign. Use one naming pattern and never change it midweek.
  • Ask where they came from. Add "how did you hear about us" to forms and sales calls, with social as an option.
  • Keep a manual tally of DMs. Count enquiries that started in the inbox. It takes five minutes a week and often shows more than the link clicks.

If you'd rather use a spreadsheet, build a simple attribution dashboard in Google Sheets. You don't need a developer.

Step 3: end with a decision, not a summary

A report that only describes the past gets filed away. Close with one choice the reader can say yes or no to, such as "move two weekly posts from announcements to customer stories, because those drove 4 of the 5 enquiries".

Write the decision first and build the page that supports it. If you can't name a decision, the report isn't ready.

What to do when revenue isn't trackable

Some businesses can't link a sale to a post, and that's fine. Pick the nearest step social controls and be open about it:

  • Local business: calls, direction requests and messages.
  • B2B: demo requests and meetings booked with a social source.
  • Content or community: email sign-ups and replies.

Say what you can't see. A report that says "we can't attribute revenue, here's the proxy and here's why it's reasonable" earns more trust than a big number with no source. When you're ready to go further, enterprise social media attribution covers the heavier methods.

Keep one benchmark so the numbers have context

Numbers without a reference point are hard to read. In Mydrop's September 2026 data, the median engagement rate per post was 3.1% on Instagram, 3.0% on TikTok and 1.1% on Facebook, with the middle half of Instagram posts between 1.1% and 6.7%. That means a 2% post is normal.

Put a line like that on page three, so a reader doesn't panic over a single weak post. The full tables are in the Mydrop social media benchmarks.

Make the report cheap to produce every month

A revenue report that takes a full day won't survive. Pull the numbers from one place and send the report on a schedule.

Mydrop's Performances page collects native metrics per platform in one view, and social media reports exports a white-label PDF with a share link and scheduled delivery. That covers pages two and three. Page one is the part only you can write, and it should take about an hour.

Next step: redo last month's report in one hour

Take last month's report and rebuild page one with the four lines above. Send it to one reader and ask a single question: "Is this what you needed to decide?" Adjust once, then make it the template.

FAQ

Quick answers

When your reader holds the budget, when social has been running for more than a quarter, or when someone asks what it earned. Reach still belongs in the report, just lower down as supporting context.

Four lines: leads or sales from social, what it cost to produce them, which posts or campaigns drove them, and one decision for next month. Reach, impressions and likes go on a later page.

Report the step social does influence: clicks to key pages, enquiries, demo requests or bookings with a social source. Name the gap openly rather than guessing a revenue number.

Next step

Stop coordinating around the work

If your team spends more time chasing approvals, assets, and publish details than creating better posts, the problem is probably not your people. It is the workflow around them. Mydrop brings planning, review, scheduling, and performance into one calmer operating system.

Managing 14+ social platforms felt like a 2 a.m. nightmare until Mydrop. The AI brand-voice mapping is scary accurate, and the client approval portal saved me easily 15 hours this week alone. It's the ultimate set-and-forget workspace for busy agencies.
A true automation tool for scheduling (and creating) social media content! It has saved me over 20 hours of work already in just my first couple weeks. A true game-changer for anyone in business, big or small!
Finally tried Mydrop on a test client and the white-label portal on a custom domain actually looks legit, no Mydrop branding sneaking in. The OAuth setup saved me from the usual “what's my password” back-and-forth.
