UGC at scale needs a pipeline with five stages and one record per asset. The record is the point: when a creator asks where you got permission, or legal asks which posts used customer content, you can answer in seconds. Without it, good content sits unused because nobody dares post it.
TLDR: Run every piece of user content through five stages (find, ask, review, credit, repost) and store the creator's permission with the asset. Skipping the record is what turns a content win into a legal question.
The five stages and who owns each
| Stage | What happens | Owner | Output |
|---|---|---|---|
| 1. Find | Check tagged posts, mentions and your hashtag on a schedule | Community | A shortlist |
| 2. Ask | Message the creator with the exact use | Community | A written yes |
| 3. Review | Check quality, brand fit, visible people and logos | Brand lead | Approve or decline |
| 4. Credit | Write the credit line and tag | Social | Caption with credit |
| 5. Repost | Schedule and track results | Social | A live post and a record |
Give each stage one named owner. Pipelines break at the stage with no owner, usually Ask.
Ask in a way creators say yes to
A good request is short and specific. Include the post, the exact placement, how you'll credit them and what you won't do (no edits beyond a crop, no ads without a new ask).
Example: "We love this photo. May we share it on our Instagram feed, credited to you? Just reply yes and we'll tag you."
Two rules keep you safe:
- Never treat silence as consent. No answer means no.
- Ask separately for paid use. Permission to repost organically doesn't cover turning the photo into an ad.
Keep a rights record for every asset
For each approved piece, record five things in the same place as the asset: creator handle, link to the original, date of permission, the permitted use and who approved it. Save a screenshot of the reply.
When a market, agency or brand manager asks "can we use this?", the answer is a lookup, not a hunt through inboxes. This is also what lets several markets reuse one asset instead of each asking again.
Screen before you amplify
Check each asset against a short list before it goes anywhere:
- Are any other people identifiable who didn't agree?
- Does it show another brand's logo?
- Does the claim in the caption match the product (no health or result claims)?
- Would you be comfortable if this post sat next to your top post?
Anything that fails goes back to the community owner, not into the queue.
Run the stages in one tool
Mydrop helps at the hub level. Use social media monitoring to surface mentions and tagged posts, store the creator's reply with the post notes, send the credited caption through approvals so the brand lead signs off, and schedule on the calendar alongside your own content. Teams with several brands can keep each brand's UGC in its own workspace.
After a month, compare UGC posts to your own median engagement. In Mydrop's September 2026 data, carousels ran 10% above an account's typical post, so test grouping three to five customer photos into one carousel.
Next step: pick ten tagged posts from the last 30 days, send the ask message to each and create the five-field record for every yes. Start free with Mydrop to keep it all in one place.
