By the end of this tutorial you will have routed a scheduled post to chosen approver(s) so legal, client, or manager review stays attached to the post in the Calendar workflow.
Before you start
Checklist:
- Post draft or scheduled post ready in Calendar.
- Approvers are members of your workspace.
- Approver contact methods available (Email or WhatsApp) for each chosen approver.
- Required media uploaded and attached to the post.
- You know the desired approval deadline or reminder timing if you want one.
Feature location:
- Calendar > Post approval
Open the feature 1.1 Open Mydrop and click Calendar in the left-hand menu. 1.2 Find the post you want to send: either an existing scheduled post in the calendar grid or a New post entry. 1.3 Click the post to open its details and select Post approval from the options or menu shown for that post.
Set up the basics 2.1 Choose approvers:
- From the approver selector, pick one or more workspace members.
- Confirm each chosen name is a workspace member before continuing. 2.2 Choose notification channel:
- Select Email or WhatsApp for how approvers will be notified.
- If an approver lacks the selected contact method, choose an alternative or update their contact before sending. 2.3 Set deadline or reminders:
- If a deadline or reminder option appears, set the date and time the approver should respond by.
- Add a reminder cadence if offered (for example: one reminder before deadline).
- Add the content and context 3.1 Attach the draft:
- Confirm the post draft, caption, and media are attached to the approval request. 3.2 Add review notes:
- Enter concise review instructions or context for approvers in the review notes field.
- Attach any supporting files (briefs, legal copy, screenshots) so approvers have everything they need. 3.3 Confirm schedule:
- Verify scheduled publish date and time are correct before sending approval.
- Send and link the approval 4.1 Review the approver list and chosen contact method on the summary screen. 4.2 Click Send for approval (or the equivalent confirm action). 4.3 Expect Mydrop to send notifications to selected approvers via the chosen channel and to attach the approval request to the post.
Verification checks
- Approval request visible on the post:
- Open the same post in Calendar and confirm an approval badge, status, or linked approval panel is shown.
- Approver notifications:
- Approvers should receive an Email or WhatsApp message with the approval request and link to the post.
- Approver list and contact method:
- The post’s approval details show the chosen approver names and the notification channel used.
- Deadline/reminder visible:
- If set, the approval deadline or reminder should appear in the approval details.
Common mistakes to prevent
- Choosing users who are not workspace members. Approvers must be in your workspace to appear and receive notifications.
- Selecting a contact channel an approver does not have (Email vs WhatsApp). Verify contact availability first.
- Sending approval before attaching the post draft or required media. The approval must include the draft and assets.
- Overlooking the scheduled date. Confirm the publish date so reviewers see the correct timing.
Conclusion
After sending, track the approval status from the post in Calendar. Once approvers respond, follow the post’s approval status to publish, edit, or re-request review as needed.
The post will be routed to the chosen approver(s) and the approval request will appear attached to the post in the Calendar workflow.
Step 1: Open the feature
- Open Calendar. Click the Calendar entry in the app navigation to view your scheduled posts and drafts.
- Locate the post you want reviewed. Find the post on its scheduled date in the calendar grid, or choose the New post entry if you are sending a draft for approval before scheduling.
- Open the post details. Click the post tile or the post title to open its detail view or editor panel.
- Select Post approval. In the post detail or editor, choose the Post approval option from the available actions or menu. This opens the approval interface for that specific post.
- Confirm the approval interface appears. Expect a panel or dialog labeled for approvals that lists approver controls, notification choices, and any deadline or reminder fields. If the panel does not open, return to the post detail view and look for an Actions, More, or Approvals entry - the Post approval control is accessed from the post itself.
- If you cannot find the post. Use the calendar date picker or search box to jump to the post date, or open the Drafts view and select the draft you want to attach to an approval request.
What you should see after Step 1
- The approval panel or dialog for the selected post is visible.
- Controls to pick approvers, choose notification channel, and set timing are present.
- The post title, scheduled date, or draft preview is visible so you know which post the approval will attach to.
Step 2: Set up the basics
Choose approvers from workspace members.
- In the approval panel, open the approver selector or member list.
- Type a name to filter or scroll the workspace member list.
- Click each person you want to add. Each selected approver should appear as a named item or chip in the approver list.
- Tip: Only choose people who appear in the workspace member list. If a person is not listed, they cannot be added as an approver.
Verify approver contact methods.
- For each selected approver, confirm they have the contact method you plan to use (Email or WhatsApp).
- Choose Email if you want the request sent to an approver's email address, or choose WhatsApp to send via WhatsApp.
- If an approver does not have the selected contact method available, the approval panel will warn you or show a missing contact indicator. Resolve this by choosing a different channel or a different approver.
Set an approval deadline or reminder (if offered).
- Find the deadline or reminder field in the approval panel.
- Pick a date and time the approver must respond by, or enable a reminder and set its timing.
- Use a deadline when publishing depends on timely legal, client, or manager review. The deadline helps avoid sending a post live without required signoff.
Confirm the basic settings before proceeding.
- Check that the approver list shows the correct people.
- Confirm the chosen contact method (Email or WhatsApp) is displayed for each approver or in the channel selector.
- Verify the deadline or reminder, if set, appears in the panel summary.
- If the approval interface includes a summary or preview, use it to confirm the post and approver details are correct.
Save or proceed to the next step.
- If the panel has a Save, Continue, or Next button, click it to preserve the approver choices and channel selection.
- If you are ready to send immediately and the panel provides a Send for approval or Request approval button, clicking that will send the notification to the chosen approver(s).
- If you choose Save or Continue instead of sending, the approval configuration remains attached to the post so you can add context or make edits before sending.
What you should see after Step 2
- Approver names listed in the approval panel, with the chosen notification channel shown.
- A deadline or reminder visible if you set one.
- A clear option to Save, Continue, or Send for approval.
- The post remains associated with this pending approval configuration in the Calendar view once saved or sent.
The post is attached to the approval request and prepared with its draft, media, caption, and scheduled date so approvers receive full context.
Step 3: Add the content or settings
Checklist before continuing:
- Post draft is saved or already selected.
- Required media uploaded and visible in the post preview.
- Caption and any tags or categories entered.
- Approver contact method (Email or WhatsApp) already chosen in Step 2.
Attach the draft or select the scheduled post.
- From the Post approval screen, pick the draft or the Calendar entry you want reviewed.
- Confirm the preview shows the final caption and the correct media files.
Confirm caption, metadata, and schedule.
- Read the caption aloud or scan it for typos.
- Verify scheduled date and time are in the future and match the publishing timezone.
- Check any metadata (boards, categories, or event links) that must be correct before publishing.
Verify media and thumbnail.
- Open each media item in the post preview to confirm it plays or displays correctly.
- For video posts, confirm the thumbnail/frame is correct and duration matches platform limits.
- Replace or re-upload any media that fails to preview.
Add review notes and attachments for approvers.
- Use the review notes field to explain approvals required (legal check, branding, specific client comments).
- Attach any reference files (briefs, contracts, screenshots) so approvers do not need separate messages.
- Keep notes concise and list any non-negotiable items clearly.
Set deadline and reminders if available.
- Choose an approval deadline so approvers know when a decision is needed.
- Enable or set reminders if the option is shown; reminders prompt approvers before the deadline.
- If no deadline is set, add it in the note to avoid late reviews.
Final save before sending.
- Save or confirm the post attachment so the approval request includes the latest draft.
- Check that attachments and notes remain visible after saving.
Quick checks to avoid mistakes:
- Ensure the scheduled publish date is correct and not already past.
- Confirm all media types meet platform requirements (format, size, duration).
- Make sure the approver contact method chosen in Step 2 matches the approver’s available contact (Email or WhatsApp).
Step 4: Review the workflow
Verify approver list and contact channel.
- On the Post approval summary, scan the list of approvers and confirm each name is correct.
- Confirm the notification channel listed for each approver is Email or WhatsApp as chosen.
- Remove or replace any approver who is not a workspace member.
Confirm the approval request is attached to the post.
- Look at the Calendar entry or the post details view and confirm an approval indicator or request appears with the post.
- Open the approval request from the Calendar to see the attached notes, files, and the full post preview.
Check notification and delivery status.
- After sending, expect a delivery confirmation or status next to the approver (sent, pending, or failed).
- If a delivery failure appears, use the resend option or update the approver contact method and resend.
Review deadlines and reminders.
- Confirm the deadline is visible in the approval request.
- Check that any reminders are scheduled; if not, add one or note the follow-up plan.
Confirm where approval status will appear next.
- Approval decisions will appear on the same Calendar entry and in the post’s approval thread.
- Look for status labels such as pending, approved, or changes requested.
Troubleshooting checks and next steps:
- If an approver does not receive a notification, confirm they are a workspace member and have a valid Email or WhatsApp contact on file.
- If the approval request is not visible in Calendar, reopen the post and ensure the approval was saved and attached before sending.
- Use the resend option for failed notifications, or remove and re-add the approver with the correct contact.
- After approval, follow the post actions shown: publish, edit and re-request, or schedule a new date if changes were requested.
Final verification:
- The Calendar entry shows the approval request attached.
- Approvers are listed with Email or WhatsApp chosen.
- Notifications show as sent or pending.
- Attached notes and files are visible to approvers.
If all checks pass, the post is correctly routed for review and the approval context will remain with the post in Mydrop’s Calendar workflow.
Troubleshooting and next steps
Outcome: Use these checks and small fixes to make sure the approval request is delivered and visible, and to decide the next action after a reviewer responds.
Quick checklist before troubleshooting
- Post draft or scheduled post is attached to the approval request.
- Approver appears in the approver list for the post.
- Notification channel is set to Email or WhatsApp for that approver.
- Required media and scheduled date are present.
Common problems and fixes
Approver did not receive the notification
- Open Calendar, locate the post, and open its post approval panel.
- Confirm the approver appears in the approver list and that Email or WhatsApp is selected next to their name.
- If the contact method is missing or incorrect, select the correct method and save. Then use the Resend or Send reminder action on the approval panel.
- If the approver’s contact method is valid but they still do not receive the message, confirm they received other workspace notifications (they may have muted messages).
Approver is not selectable or not listed
- Open the approver selector from the post approval panel and search for the colleague.
- If the person does not appear, they are not a workspace member. Ask a workspace admin to add them, or choose a different member.
- After the person becomes a member, re-open the post approval panel and add them as an approver.
Approval shows as Pending but no action has been taken
- Open the post in Calendar and view the approval status badge on the post.
- Click the approval badge to open the approval thread; confirm approver contact method and deadline.
- Use Resend or Send reminder to nudge approvers.
Approval request missing post context (caption, media, or scheduled date)
- Open the post details from Calendar and confirm the caption, media, and scheduled date are attached.
- If anything is missing, attach the media or update the caption, save, then re-open the approval panel and click Send or Re-request so approvers receive the updated context.
Where to view approval status
- Calendar view: the post should show an approval indicator with a current status (for example, Pending or Approved).
- Post details: open the post card in Calendar to see the approval thread, sent notifications, approver list, and any review notes or attachments.
- Approver responses: the approval thread on the post will record approvals, rejections, and review comments-use that thread to confirm what changed.
Resend, reminders, and follow-up
- Open the approval panel on the post and click Resend or Send reminder to re-notify chosen approver(s).
- If a different channel is needed, edit the approver contact method to switch between Email and WhatsApp, then resend.
- If an approver requests changes, edit the post, save the draft, and use Re-request approval so the approval context remains attached.
Next steps after an approver responds
- If approved: confirm the scheduled date and either leave the post scheduled or publish immediately from the post card in Calendar.
- If changes are requested: click Edit on the post, make the changes, save, and send a new approval request to the same or different approver(s).
- If rejected: update the post as needed, add review notes for the approver, and Re-request approval.
- Mark workflow complete by confirming the approval status in the post details and proceeding with publishing or re-scheduling.
Common setup mistakes to prevent
- Selecting a user who is not a workspace member; they will not receive Mydrop approval notifications.
- Picking a contact method the approver does not use; confirm Email or WhatsApp before sending.
- Sending approval before saving or attaching the final draft and media.
- Overlooking the scheduled date or failing pre-publish validation; fix date or media issues before re-sending.
Conclusion
If the approval request is visible on the post in Calendar and the chosen approver(s) appear with Email or WhatsApp selected, the workflow is set up correctly. Use the approval thread on the post to track responses, resend reminders when needed, and either publish, edit, or re-request based on the approver feedback.
